What we collect, why, and what you can ask us to do with it. Short version: we collect as little as we can, we don't sell it, and you can ask us about it any time.

01Who we are
Penstock Digital ("Penstock", "we", "us") is a sole proprietorship run by Liam Murrin in Chilliwack, BC, Canada. We build websites, call answering, follow-up and CRM systems for local businesses. This policy covers penstock.ca, our demo line, and how we handle information when you contact or work with us.
We follow British Columbia's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
02What we collect
- When you email or call us: your name, contact details, business details and whatever you choose to tell us.
- When you book a call: your name, email, the time you pick and any notes you add. Bookings are handled by our scheduling tool, [Calendly].
- When you call our demo line: the call is answered by our virtual receptionist. Your phone number, the call audio and a written transcript may be recorded so the demo can work and so we can improve it. Please don't share sensitive information on a demo call.
- When you visit the site: basic technical information such as your IP address, browser and the pages you view, collected by our hosting provider for security and performance. [If analytics are added: we use privacy-friendly analytics that don't use cookies or track you across other sites.]
The site doesn't use advertising or tracking cookies. It saves one small setting in your browser so the opening animation only plays once. That setting contains no personal information, and clearing your browser data removes it.
03How we use it
- To reply to you, run discovery calls and prepare quotes.
- To deliver and support the work you hire us for.
- To run the demo line and improve how it handles calls.
- To keep the site secure and working, and to understand which pages are useful.
- To meet legal, tax and accounting obligations.
We only send marketing emails or texts if you've agreed to them, and every message includes a way to opt out, as required by Canada's anti-spam law (CASL).
04Who we share it with
We don't sell or rent personal information. We share it only with service providers that help us run the business, and only what they need to do their job:
- Website hosting and security: Cloudflare.
- Scheduling: [Calendly].
- Phone, text and call-recording services: [phone provider].
- Email and file storage: [email provider].
Some of these providers store or process information outside Canada, including in the United States, where it may be subject to local laws. We choose providers with strong security practices. We may also disclose information if the law requires it.
05Systems we build for clients
When we set up call answering, follow-up or a CRM for a client, we handle information about that client's customers (for example, the details a caller gives the virtual receptionist) on the client's behalf and under their instructions. The client is responsible for telling their customers how that information is used, usually in their own privacy policy. We use it only to provide the service, keep it secure, and return or delete it when the work ends. If you're a customer of one of our clients, the best first step is to contact that business directly.
06How long we keep it
We keep personal information only as long as we need it for the purposes above. Enquiries that don't become projects are deleted within [12 months]. Demo call recordings and transcripts are deleted within [90 days]. Client and billing records are kept as long as Canadian tax law requires, which is generally six years.
07How we protect it
We use reasonable safeguards for the sensitivity of the information: encrypted connections, access limited to people who need it, strong passwords and two-factor sign-in on the accounts we use. No system is perfectly secure. If a breach creates a real risk of significant harm, we'll notify the people affected and the regulator as the law requires.
08Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it (subject to legal or contractual limits). Email info@penstock.ca and we'll respond within 30 days. We may need to confirm who you are first.
If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
09Changes and contact
If we change this policy, we'll update it here and change the date at the top. For any privacy question, contact Liam Murrin, who is responsible for privacy at Penstock:
